Are you greeted at your office door by the look of a mountain of unfiled documents, stacks of folders and documents strewn all over the desk and file cabinets? Is the garbage can overflowing with yesterday's disposable coffee cups and takes out lunch? Do you have any idea where the stapler and your pens are? Is keyboard and computer mouse in sight? Are you missing appointments and deadlines because you didn't have it written down on a calendar, or you can't find that calendar? The simple solution is.... organizing your office!
The first step in the plan to achieve a clean, uncluttered office space is to clear the walk-way in your office. Begin by removing all the unnecessary office equipment, boxes of stored documents and files. It is amazing how much space you will suddenly discover!
Let's start with the most important item in your office....your desktop. Your desktop holds important files and documents, your laptop or computer, telephone and if it is large enough, possibly fax machine as well. Start by completely clearing off everything and placing on the floor nearby. Wash off your desk, there is most likely sticky coffee rings on your desktop! Place folders to be filed together in one area. If you have loose documents, place them in another area and then, group your stapler, pens and pencils and highlighters etc. together. Discard or shred any papers that are no longer needed and don't have to be saved. Get a large garbage bag and empty your garbage into it along with the old unneeded items, newspapers, shredded documents etc.
You may find that you need to purchase more hanging file folders for your filing cabinets or perhaps you need some desktop shelves and bins. Using drawer organizers for writing devices, staples, staplers, paperclips, etc, will keep your drawers organized. There are even file folder holders and hanging bins that attach directly to a wall or can hook over the top of a cubicle wall which can be of assistance to you as well.
Label your bins and shelves and file folders to create ease when you need to find something when you are working. Organizing your file cabinet files alphabetically or by task, job or client will ensure that you will find that file when you need it. Hang a bulletin board or magnetic dry erase board, or large calendar on the wall to remind you of your appointments and deadlines. Get a paperweight to hold down the loose papers on your desk.
Having a clean and organized office will not only make life easier and less stressful for you but will make you look like the professional you are! Your organized office will give the lasting impression that you and your company are efficient and capable. You may even inspire your co-workers to pay a bit more attention to their own offices!
